Get the internal decisions onto one page
A company social can become difficult before any equipment arrives: one person expects a quiet thank-you evening, another wants a dance party, and nobody knows who can approve the spending. A short brief gives the organiser a decision to work towards.
For a Wilmslow team event, begin with the Wilmslow inflatable pub hire options and the actual event address. Then settle the internal brief below before comparing packages. This guide covers what your company wants to buy; the separate Salford venue handover checklist covers the practical information passed to the people opening and closing a site.

Write the purpose as a choice you can act on
Replace “a good night for everyone” with a more useful sentence: “An informal thank-you for the team, with conversation first and optional dancing later.” That statement tells you what to prioritise, how to describe the invitation and whether a connected dance space belongs in the plan.
Ask which part people would miss if you removed it. If the answer is time to talk to colleagues, protect that in the plan. If the group specifically wants dancing, compare a pub with a connected Rave Cave. Neither preference requires every guest to participate in the same way.

Ask three questions before choosing the format
- Would colleagues prefer conversation, music or a choice of both?
- What arrival and departure window works around their actual working hours?
- What would help them take part, including seating, food choices and access needs?
A short anonymous preference form can help, but ask only for information you need to plan. Offer a private way to discuss individual requirements rather than collecting personal explanations in a group chat. Separate a preference for the evening from an assessment of the installation site; the hire team still needs to assess the latter.

Name the budget owner and separate the costs
Make one person responsible for approving the package and another named person responsible for the booking if those are different roles. Record a total spending limit and what it covers. Equipment hire, food, drinks, any third-party venue fee and your own decorations should have separate lines.
Current base packages are £449, £699, £1,069 and £1,399, including delivery, setup and collection. Monday–Thursday event dates receive 20% off base packages automatically; extras stay at full price. Compare the live options when booking rather than applying the discount to the entire event budget.

Turn the Wilmslow address into a clear responsibility
If your company has a Wilmslow office but the party is at a colleague’s home or a hired venue elsewhere, put the event address in the brief. The office postcode is not a substitute for the installation location. Say who owns or manages that space and who will arrange permission and provide access information.
Keep internal approvals separate from supplier confirmation. “Finance approved the budget” does not mean a venue has agreed to the installation. Mark the site assessment and access arrangements as outstanding until the relevant people have confirmed them.

Copy this decision brief into your planning document
- Purpose: the reason for the social and the atmosphere you want.
- People: invitation list, likely attendance and participation preferences.
- Place: exact event address, permission contact and assessment status.
- Package: pub only or pub with connected Rave Cave, plus chosen extras.
- Money: total limit, approver, booking owner and separate party costs.
- Next decision: what must be confirmed, by whom and by when.
This is a suggested planning format, not a record of a customer event. Keep it short enough that the approver can spot an unanswered question without reading a long email chain.

Book once the brief has an owner
When the format, address and approvals are clear, check dates and book online with a £50 non-refundable deposit. The remaining balance is due on delivery. Give the person handling payment the delivery arrangements as well as the event date.
For Saturday events, Friday delivery/setup and Monday collection are included at agreed times. A company’s access contact needs to be available for those arrangements; weekday dates remain bookable. Keep the agreed brief with the booking so the event organiser and the person receiving the equipment are working from the same plan.
